PART A:
BOOKING AND PAYMENT PLATFORM
TERMS AND CONDITIONS
Effective
date: 02 October 2026 | Version: 1.0
1.
Introduction and acceptance These
terms govern access to and use of the official booking and payment platform for
the SACPCMP 2026 Conference and Masterclasses. By creating a booking,
submitting delegate details, requesting an invoice, making payment, or
selecting I accept, the person making the booking confirms that they have
read, understood and accepted these terms, and that they are authorised to bind
any organisation or other delegates included in the booking.
2.
Event details The SACPCMP 2026 Conference is
scheduled for 10 November 2026 and the Masterclasses for 11 November 2026 at
Gallagher Convention Centre, Gauteng. The programme, speakers, session titles,
rooms, times and format may be amended where reasonably necessary. The latest
information published by the SACPCMP will apply.
3.
Definitions In these terms: SACPCMP
means the South African Council for the Project and Construction Management
Professions; Event means the Conference, Masterclasses and any associated
function offered through the platform; Booker means the person completing the
booking; Delegate means each person registered to attend; Platform means
the official online registration and payment system; and Booking Confirmation
means written confirmation issued by or on behalf of SACPCMP.
4.
Eligibility and authority The
Booker must be at least 18 years old and must provide complete, accurate and
current information. A Booker registering another person must have authority to
provide that persons information and must make these terms and the applicable
privacy notice available to them. SACPCMP may require proof of identity,
professional registration status, membership, employment, purchase-order
authority or eligibility for a discounted fee.
5.
Registration and capacity Bookings
are subject to availability and may close when venue, stream or masterclass
capacity is reached. Submission of a form, quotation request, purchase order or
proof of payment does not by itself guarantee a place. A place is secured only
once all required payment conditions have been met. Masterclass stream
selections are subject to capacity and may be changed; where changes are
initiated, these will be communicated by the SACPCMP.
6.
Fees, VAT and inclusions Fees
will be displayed in South African Rand and will state whether VAT is included.
The fee and package shown at checkout or on the approved quotation or invoice
will apply. Unless expressly stated, fees do not include travel, accommodation,
parking, visas, insurance, personal expenses or attendance at restricted
functions. Any member, registrant or group discount is subject to verification
and may be withdrawn if the qualifying criteria are not met.
7.
Payment Full payment is ordinarily
required to secure attendance unless SACPCMP has approved written credit terms,
a government purchase-order arrangement or another payment schedule. Payment
must be made using an approved method shown on the Platform or invoice. The
Booker must use the correct booking or invoice reference. Bank and
payment-provider charges are for the Bookers account unless stated otherwise.
A booking with an unpaid or untraceable balance may be suspended or cancelled
after reasonable notice.
8.
Quotations, invoices, purchase orders and group bookings Quotations
and pro-forma invoices are not tickets and do not reserve places indefinitely.
Group bookings must identify every delegate by the deadline communicated by
SACPCMP. The organisation making a group booking remains responsible for the
full amount and for communicating these terms to delegates. Substitution of
delegates is governed by clause 11. Government and institutional Bookers must
submit valid procurement documentation within the period specified in the
quotation or invoice.
9.
Payment security and third-party providers Online
payments may be processed by a third-party payment service provider, in many
cases, but not all, the employer or sponsor of the Booker. The Booker may also
be subject to that providers terms and privacy notice. The SACPCMP will not
ask a Booker to send a complete bank-card number or security code by ordinary
email. The Booker must verify payment instructions and report suspected fraud
or duplicate transactions promptly. The SACPCMP may delay confirmation while a
transaction is being verified.
10.
Booking confirmation and platform records The
Booker must check the confirmation, delegate names, selected package, session
or stream, amount paid and contact details immediately. Errors must be reported
promptly. Platform and payment records maintained by the SACPCMP, or its authorised service providers will be prima facie evidence
of the transaction, subject to the Bookers right to provide contrary evidence.
11.
Booker responsibility for delegates Where a booker registers one or more additional
delegates, the booker confirms that the relevant delegates have been informed
of and where agreed to, these Terms and Conditions. The Booker remains
responsible for the accuracy of information submitted on behalf of delegates
and for payment obligations associated with the booking. Each Delegate remains
individually responsible for compliance with the Conference Attendance Terms
and Conditions.
12.
Delegate substitutions and transfers A
paid booking may be transferred to another eligible delegate in the same
category if SACPCMP receives the request in writing before the cut-off date
published on the Platform. SACPCMP may refuse a late or incomplete substitution
where credentials, catering, security, CPD or access records can no longer
reasonably be changed. A price difference arising from the substitutes
category is payable before attendance; any refund difference is subject to the
cancellation rules.
13. Booker
cancellations and refunds Cancellations must be
submitted in writing with the booking reference. The SACPCMP may charge a
reasonable cancellation fee, assessed with regard to the notice given, the
nature and value of services reserved, costs already incurred, and the
reasonable prospect of reselling the place. The cancellation schedule displayed
at checkout or on the invoice will apply to the extent that it is lawful and
reasonable. No cancellation fee will be imposed where prohibited by applicable
law, including qualifying death or hospitalisation circumstances. Approved
refunds will be returned, where practicable, to the original payment method,
less any lawful cancellation fee and non-recoverable third-party charges that
were clearly disclosed.
14. No-shows and
partial attendance Failure to attend without
written cancellation will ordinarily result in forfeiture of the fee, subject
to applicable consumer law. Late arrival, early departure, failure to attend a
selected masterclass, or failure to meet CPD attendance requirements does not
create an automatic right to a refund or partial refund.
15. Event
cancellation, postponement or material change SACPCMP
may cancel, postpone, relocate, change the format of, or materially alter an
Event where reasonably necessary. If SACPCMP cancels an Event and does not
provide it in an alternative form, affected paid Bookers will be offered the
remedy required by applicable law, which may include a refund of the Event fee
paid. If an Event is postponed or relocated, SACPCMP will communicate the
available options. SACPCMP is not responsible for travel, accommodation or
other external costs unless liability cannot lawfully be excluded.
16. Force majeure Neither
SACPCMP nor the Booker will be liable for failure or delay caused by
circumstances beyond reasonable control, including natural disaster, severe
weather, epidemic, civil disorder, industrial action, venue unavailability,
utility or technology failure, government restriction or security threat. The
affected party must communicate as soon as reasonably practicable. SACPCMP may
take reasonable steps to reschedule, relocate, change format or provide an
alternative.
17.
Pricing and technical errors SACPCMP
may correct an obvious pricing, availability, tax or system error before
confirming a booking. If an error is identified after payment, SACPCMP will
notify the Booker and offer the lawful options available, which may include
payment of the corrected amount or cancellation and refund. SACPCMP will not
knowingly enforce an erroneous price in a manner inconsistent with consumer
law.
18.
Personal information and POPIA Personal
information submitted through the Platform will be processed for booking
administration, identity and eligibility verification, invoicing, payment
reconciliation, access control, catering and accessibility arrangements, CPD
administration, security, event communications, evaluation, recordkeeping and
related lawful purposes. The SACPCMP will process such information in
accordance with the Protection of Personal Information Act 4 of 2013 (POPIA),
its Privacy Notice and applicable retention and security requirements.
Information may be shared with authorised operators such as the platform
provider, payment processor, event organiser, venue, CPD administrator and
service providers only to the extent reasonably necessary and under appropriate
safeguards.
19.
Marketing communications Operational
communications necessary to administer the booking and Event are not optional.
Separate electronic direct marketing will be sent only where the SACPCMP has a
lawful basis and will provide a reasonable method to opt out. By attending the
SACPCMP Conference and Masterclasses, you agree to have your image, data or
video material including your image to be utilised
for event communication and associated promotion of the event.
20.
Cookies and electronic communications The
Platform may use necessary cookies and similar technologies for authentication,
security, transaction processing and service delivery, and may use optional
analytics or marketing technologies in accordance with the published cookie
notice and consent settings. The Booker consents to receiving booking records
and notices electronically at the contact details supplied.
21. Intellectual
property and acceptable use The Platform, Event branding,
programme, written materials and content are protected by intellectual-property
law. Users may not copy, scrape, reverse engineer, disrupt, introduce malicious
code, impersonate another person, circumvent security or use the Platform
unlawfully. Tickets, access credentials and QR codes may not be resold,
duplicated or shared unless the SACPCMP provides written permission.
22. Limitation of
liability To the maximum extent permitted by law, the SACPCMP
will not be liable for indirect, special or consequential loss arising from use
of the Platform or a booking. Nothing in these terms excludes liability that
may not lawfully be excluded, or limits a consumers rights under applicable
law. The Booker is responsible for safeguarding account credentials and for
losses caused by unauthorised use resulting from the Bookers failure to take
reasonable care.
23. Complaints,
disputes and chargebacks Booking or payment complaints
must first be submitted to the designated SACPCMP conference contact with
supporting records. The parties will attempt to resolve the matter in good
faith. A Booker should not initiate a chargeback for a transaction that has
been properly fulfilled without first giving SACPCMP a reasonable opportunity
to investigate. This clause does not remove any statutory complaint or
dispute-resolution right.
24. Governing law These
terms are governed by the laws of the Republic of South Africa. South African
courts and any competent statutory consumer or information-regulatory body will
have jurisdiction as provided by law.
25. General If
any provision is unlawful or unenforceable, it will be severed or limited to
the minimum extent necessary without affecting the remaining provisions. A
failure to enforce a provision is not a waiver. SACPCMP may update these terms
prospectively; the version accepted at booking will ordinarily apply to that
booking, except where a change is required by law or is reasonably necessary
and does not unfairly prejudice the Booker.

PART
B:
CONFERENCE
AND MASTERCLASSES ATTENDANCE TERMS AND CONDITIONS
Applicable
to all delegates, speakers, guests, sponsors, exhibitors, media and
service
providers, unless a separate written contract applies.
1.
Acceptance and scope Entry
to, presence at, or participation in the SACPCMP 2026 Conference and
Masterclasses constitutes acceptance of these Attendance Terms. Where a person
attends under a sponsor, exhibitor, speaker, media, VIP or complimentary
allocation, these terms apply in addition to any separate agreement. In the
event of inconsistency, the more specific signed agreement prevails to the
extent of the inconsistency.
2.
Event dates and venue The
Conference is scheduled for 10 November 2026 and the Masterclasses for 11
November 2026 at Gallagher Convention Centre, Gauteng. Registration opening
times, session times, rooms and access arrangements will be communicated in the
final programme and delegate information. Delegates should allow sufficient
time for registration and security checks.
3.
Admission and credentials Admission
is limited to confirmed delegates and authorised guests. Attendees must present
the required confirmation, identification, badge, QR code or other credential.
Badges and credentials are personal, must be worn or produced when requested,
and may not be shared, copied or transferred without approval. The SACPCMP may
refuse admission where a booking is unpaid, invalid, duplicated, obtained
fraudulently or inconsistent with the authorised
attendee category.
4.
Programme and speakers The SACPCMP
may change speakers, topics, session order, rooms, timing, format or content
where reasonably necessary. Such changes do not automatically entitle an
attendee to a refund. Views expressed by speakers, panellists or attendees are
their own and do not necessarily represent SACPCMP. Event content is provided
for general professional development and does not constitute legal, financial,
engineering, health, safety or other professional advice.
5.
Professional conduct Attendees
must act professionally and respectfully. Harassment, discrimination,
intimidation, threats, violence, disruptive conduct, unlawful activity,
unauthorised commercial solicitation, damage to property, or interference with
the Event is prohibited. Attendees must follow reasonable instructions from the
SACPCMP, the venue and security personnel. The SACPCMP may remove or refuse
re-entry to a person who breaches these requirements, without refund where
lawful.
6.
Safety, security and emergencies Attendees
must comply with venue rules, access controls, emergency procedures and
applicable health and safety requirements. Prohibited or dangerous items may
not be brought into the venue. Bags or credentials may be subject to lawful
security checks. Attendees must promptly report hazards, incidents or
suspicious conduct. In an emergency, instructions from venue and emergency
personnel take priority over the programme.
7.
Accessibility, dietary and special requirements Reasonable
accessibility or dietary requirements should be submitted by the deadline
stated in delegate communications. SACPCMP will use reasonable efforts to
accommodate properly notified requirements but cannot guarantee requests made
late or requirements beyond the venues reasonable capability. Health
information disclosed for accommodation purposes will be handled confidentially
and only as necessary.
8.
CPD attendance and verification Any
CPD recognition is subject to the applicable accrediting rules and the final
approved CPD allocation. Attendees may be required to register, scan in and
out, attend the required duration, participate in prescribed activities,
complete evaluations or assessments, and provide accurate professional
registration details. Registration or payment alone does not guarantee CPD
recognition. The SACPCMP may withhold or correct a CPD record where attendance
cannot be verified or information is inaccurate.
9.
Masterclass participation A
Masterclass booking provides access only to the confirmed stream or session,
subject to capacity and operational arrangements. Attendees must not move
between full streams without approval. Materials, exercises and discussions may
be subject to facilitator instructions, confidentiality expectations and
intellectual-property restrictions.
10. Event materials
and intellectual property Presentations, recordings,
handouts, programme content, trademarks, logos and other materials remain the
property of SACPCMP, speakers or other rights holders. Attendees may use
materials for personal professional development only unless a licence states
otherwise. Materials may not be reproduced, recorded, uploaded, sold,
distributed, used for training, or incorporated into another publication or
presentation without written permission. Availability of speaker slides or
recordings is not guaranteed.
11. Attendee
recording and media activity Attendees may not make
professional audio or video recordings, livestream sessions, photograph
restricted materials, or conduct interviews for publication without prior
written approval. Personal photography may be restricted in particular sessions
or areas. Media representatives must comply with accreditation conditions and
reasonable directions concerning interviews, embargoes and restricted access.
12. Photography,
videography, personal information and conference marketing The
Event will be photographed, filmed, livestreamed or otherwise recorded. By
registering for and attending the Event, attendees acknowledge that they may be
visible or audible in photographs, video, audio and other recordings, including
crowd, networking, exhibition and session footage. Attendee information and
Event media may be processed by SACPCMP and its authorised operators for Event
administration, security, CPD, reporting, archival purposes, and lawful Event
and associated conference communications and marketing, including the SACPCMP
website, publications, email communications and social-media channels, in
compliance with POPIA. The SACPCMP will provide appropriate notices and will
process only information reasonably necessary for stated purposes. Where
consent is the applicable lawful basis, it must be informed and may be
withdrawn prospectively. An attendee who does not wish to be the primary
subject of identifiable promotional photography or filming should notify the
registration desk or designated privacy contact and follow the communicated
opt-out process; The SACPCMP will take reasonable steps to respect that
request, although incidental inclusion in wide-angle crowd or background
footage may not always be avoidable. Attendees may exercise applicable rights
of access, correction, objection or deletion by contacting the SACPCMP
Information Officer. Withdrawal or objection does not affect processing already
lawfully undertaken.
13. Delegate
information and networking Name, organisation and
professional role may be displayed on badges and, where appropriately notified,
may appear in a delegate or networking function. Contact details will not be
shared with other delegates, sponsors or exhibitors for their independent marketing
unless there is a lawful basis and the attendee has been appropriately
informed. Attendees must not harvest, photograph or misuse another persons
badge, contact details or personal information.
14. Sponsors,
exhibitors and third parties Sponsors and exhibitors are
responsible for their own statements, products, services and promotional
material. Interaction with a third party is voluntary and may be governed by
that partys terms and privacy notice. SACPCMP does not endorse a product or
service merely because its provider sponsors or exhibits at the Event.
Promotional activity must remain within authorised areas and must not disrupt
sessions or pressure attendees.
15. Catering,
allergies and personal property Attendees remain
responsible for checking food suitability and informing the organiser of
notified allergies or dietary requirements. SACPCMP and the venue will take
reasonable care but cannot guarantee an allergen-free environment. Attendees
are responsible for personal property, devices and vehicles. Lost property will
be handled under venue procedures. Liability is limited to the extent permitted
by law.
16. Travel,
accommodation and insurance Unless expressly included in a
written package, attendees are responsible for travel, accommodation, parking,
visas, insurance and related costs. Attendees should use flexible arrangements
where possible. SACPCMP is not liable for losses arising from independent
travel or accommodation bookings, subject to rights that cannot lawfully be
excluded.
17. Wi-Fi and
technology Any Wi-Fi, charging, event application or
digital facility is provided on an availability basis and may be subject to
venue or provider terms. Attendees must use technology lawfully, protect their
devices and credentials, and avoid activities that compromise security,
capacity or other users. SACPCMP does not guarantee uninterrupted connectivity.
18. Removal, refusal
of entry and non-compliance SACPCMP may refuse entry,
remove an attendee, revoke credentials or restrict participation where
reasonably necessary for safety, security, legal compliance, capacity,
non-payment or material breach of these terms. Where removal results from the
attendees conduct, no refund will be due except where required by law. Serious
misconduct may be reported to the venue, employer, professional body or
law-enforcement authority where lawful and appropriate.
19. Liability and
assumption of ordinary risk Attendance involves ordinary
risks associated with travel, crowds, venue movement and participation in
professional events. Attendees must take reasonable care for their own safety
and belongings. To the maximum extent permitted by law, SACPCMP is not liable
for indirect or consequential loss, loss of opportunity, or acts and omissions
of independent third parties. Nothing excludes liability for gross negligence,
intentional misconduct or any liability that may not legally be excluded.
20.
Force majeure and event changes Where
circumstances beyond reasonable control affect the Event, SACPCMP may suspend,
relocate, reschedule, change format, reduce capacity or cancel affected
activities. SACPCMP will communicate material changes and provide remedies
required by law and the applicable booking terms.
21. Complaints and
incident reporting Service complaints should be
raised promptly at the registration or help desk so they can be addressed where
possible. Conduct, safety, privacy or security incidents should be reported
immediately to the designated Event representative. Post-event complaints must
include the attendees name, booking reference, facts, date, supporting
information and requested remedy and must be sent to Martin.Mabitsela@sacpcmp.org.za
22. Governing law
and severability These Attendance Terms are
governed by the laws of the Republic of South Africa. If a provision is found
unlawful or unenforceable, it will be limited or severed without affecting the
remaining provisions. Statutory consumer and privacy rights remain unaffected.
